How Can I Help?

Team works with chairperson on contacting local business for annual charity donations. Team will divide and conquer list of established donors. ** This is one of our most important jobs!!

This team's role is to create basket & item bid descriptions that will be printed in the Auction Booklet. The team has the availability to work with the church using the auction software, or work at your own pace at home. Team works with Basket & Item Assembly Team lead on item contents. Must have availability to computer and will receive training on auction software.

Help plan and procure the decorations. Table decor will already be arranged by the venue.

The chairperson is responsible for organizing and working with parent volunteers for each grade on ideas, and descriptions of class projects. Chair creates project description and displays for auction night.

The chairperson will be the emcee for the evening (we will have an auctioneer) and direct set up for the evening including layouts, table settings, lighting, etc. in advance. Coordinates and oversees Set Up Team, works with auction volunteers to ensure proper set up and materials, responsible for auction items displayed in proper sections for silent, spot light and oral auctions, assures all other items (pens, bid sheets, display boards) are available and placed. Also works with Clean Up Chairperson to advise to any special clean up requests. The chair also helps coordinate and oversee the Setup Team volunteers.

Set Up Team helps to transport and set up silent and live auction items one day prior to auction event night, works to ensure proper set up of materials, tables/chairs, linen, lighting, auction items displayed in proper sections for silent, spot light and oral auctions, assures all other items (pens, bid sheets, display boards) are available and placed to day before. This team may also assist the Decorations team, if needed.

The chairperson is responsible for the registration table including checking in guests, checking out guests, collecting money, coordinating volunteers at registration table and entering in bids after auction tables close.

The Registration Team helps assist guests with check in and check out the night of the auction as well as enter bid numbers into the software after tables close.

The chairperson is responsible for taking photos of auction events and teams, including set up and auction event night. The chairperson will download, review, organize and store photos to disc to be given to Auction Chair.

This team member is responsible for coordinating set up of silent auction items one day prior to the auction and closing sections of silent auction by leading silent auction team in gathering bid sheets at close of each silent table.

Team will assist Silent Auction Coordinator in closing sections of silent auction by leading silent auction and delivering bid sheets to the Registration Table.  Team will also aide in transportation and set up of auction items at venue.

This person chairperson is in charge of a team of committee members who contact local business for annual charity donations and sponsorships. Team will divide and conquer list of established donors.
